Add your Beacon schedule to a personal calendar
Create a private subscription for your accepted assignments in Google Calendar, Apple Calendar, Outlook, or another calendar app.
For everyone
These steps use the Beacon website unless the iPhone app is mentioned.
In this guide
Create your calendar link
Beacon’s calendar subscription includes accepted and confirmed assignments for the selected organization. Requests awaiting your response stay in Beacon, so keep checking My Schedule for those.
- Select the organization whose schedule you want to connect.
- Open Settings, then Availability and time off.
- Find Calendar subscription and choose Create calendar link.
If you belong to more than one organization, check the organization named in the subscription details. Create and manage the appropriate link for each organization.
Add the subscription to your calendar app
For Google Calendar, choose Subscribe in Google Calendar and finish adding it in the new tab. If no tab opens, allow pop-ups for Beacon and try again.
For another calendar app, choose Copy link. In that app, find its option to subscribe by URL or add a calendar from a URL, then paste the link. The wording varies between calendar apps.
Use a subscription so your calendar can receive future updates. A one-time import or copied event will not keep following changes to your Beacon schedule.
Give updates time to arrive
Your calendar app decides when to refresh its subscription. Google Calendar updates can take several hours; other apps have their own refresh timing. For an assignment that has just changed, check My Schedule in Beacon for its current status.
If an event never appears, check that the assignment is accepted or confirmed and that you subscribed to the correct organization’s link. The subscription details may also show when a calendar app last refreshed it.
Respond to requests and manage assignments in Beacon. This subscription does not turn edits in your personal calendar into changes to your Beacon assignment.
Keep the link private
Anyone who has the link can view the assignments it includes. If you share it accidentally, choose Replace link and update the subscription in your calendar app to use the new link.
Choose Turn off feed to stop future updates. Previously downloaded events may remain until the calendar refreshes or you remove the subscription. Turning off a feed does not cancel the assignments themselves.
If Beacon cannot display an older link, use Create replacement link and subscribe again with that link.
